Coordinator of Worship Sharing

The Coordinator of Worship Sharing provides leadership and handles logistics for the annual gathering’s Worship Sharing program, including recruiting and preparing leaders, providing materials and creating groups. 

Appointment: The Coordinator is appointed for a three year term beginning at the rise of an annual session.  Current practice is to appoint one or two people each year to a three-year pattern of shared or teamed service.  The Coordinator is a member of the Executive Committee and ex officio to the Continuing Committee. 

Responsibilities of the Coordinator of Worship Sharing include:

1.  Recruiting leaders for the worship sharing groups at the annual gathering.

2.  Providing leaders with materials to help them prepare for their responsibility.

3.  Assigning registrants to worship sharing groups, using registrant information provided by the Registrar, and posting group rosters at the annual gathering.

4.  Coordinating with the Clerk of Senior Young Friends regarding the scheduling of Intergenerational Worship Sharing Groups and providing leadership and materials as appropriate.

5.  Ensuring that worship sharing meeting times do not have conflicting events scheduled.

6.  Informing the Coordinator of Operations about the needs for worship sharing groups.

7.  Convening meetings of the worship sharing leaders at the annual gathering for purposes of preparation and support.

8.  Providing for evaluation of the worship sharing program by leaders and participants, using a questionnaire or other appropriate mechanism.

9.  Reporting to Yearly Meeting as needed. 

Executive and Continuing Committees:  The Executive Committee meets in late summer to evaluate the various aspects of the most recent annual gathering and begin planning for next year's annual gathering.  The Coordinator of Worship Sharing may be asked to submit a written evaluative report in advance of this Executive Committee meeting.  In its winter meeting a few months later, the Continuing Committee completes the planning for the next annual gathering.  The Coordinator attends this meeting to report on plans for the upcoming gathering and to receive instructions from the Committee.  The Yearly Meeting pays upon request the travel expenses to these meetings. 

Financial Arrangements:  Incidental operating expenditures for clerical supplies, communications, etc., may be submitted to the Treasurer for reimbursement.  The Treasurer should be consulted before incurring unusual expenses.
