Coordinator for Senior Young Friends
Also called Friendly Adult Presence (FAP) (07/24/07)
(Adapted from 1998 Guide.)
The Coordinator for Senior Young Friends works with Senior Young Friends in planning and implementing their various programs and in meeting organizational needs.
Appointment: The Coordinator is nominated by Senior Young Friends and advanced by the Nominating Committee to the Yearly Meeting for approval. The three year term begins at the rise of an annual session. The Coordinator is a member of the Executive Committee and ex officio to the Continuing Committee. Current practice is to appoint more than one person for teamed service.
Responsibilities of the Coordinator for Senior Young Friends include:
1. Working with Senior Young Friends in planning and implementing their program and activities during the annual gathering.
2. Assisting Young Friends in understanding and using Friends practices during planning and participation in the annual sessions for business.
3. Facilitating communications between Senior Young Friends and the rest of the Yearly Meeting.
4. Assisting in obtaining various nominations required of Senior Young Friends.
5. Assisting in planning and implementing programs involving Young Friends in more than one Regional Meeting; e.g. inter-regional meeting visits, work camps, and other special projects.
6. Encouraging Regional and Monthly Meetings to support the travel expenses of Young Friends to Continuing Committee meetings.
7. Serving as a primary communication link with other Friends organizations having interests and activities relevant to the Young Friends.
8. Facilitating with the Clerk of the Watching Committee the availability of copies of epistles from Young Friends groups in other yearly meetings for SYF business meetings.
9. Sending to the Registrar by the end of February, the yearly meeting program for the Senior Young Friends.
10. Carrying out such additional responsibilities as may be agreed to with the Senior Young Friends Clerk, the Yearly Meeting Clerk, or the Clerk of Continuing Committee.
11. Working with the Senior Young Friends Clerk and Ghost Ranch Program Office to meet program needs for facilities and equipment for the annual gathering. (There may be reasons for some joint program and logistics planning with the Coordinator of Junior Young Friends and Children's Yearly Meeting.)
Executive and Continuing Committees: The Executive Committee meets in late summer to evaluate the various aspects of the most recent annual gathering and begin planning for next year's annual gathering. The Coordinator for Senior Young Friends may be asked to submit a written evaluative report in advance of this Executive Committee meeting. In its winter meeting a few months later, the Continuing Committee completes the planning for the next annual gathering. The Coordinator attends this meeting to report on plans for the upcoming gathering and to receive instructions from the Committee. The Yearly Meeting pays upon request the travel expenses to these meetings.
Financial Arrangements: The Yearly Meeting is responsible for the expenses for the Coordinator for Senior Young Friends to attend meetings of the Executive and Continuing Committees, and to the annual session as needed. (See the Guide page Who Pays IMYM Travel.) Senior Young Friends have a budgetary allowance supplied by annual gathering fees for program expenses. The Senior Young Friends Clerk and Coordinator should consult with the Treasurer and one another as needed regarding the current budgetary situation and spending needs.
